Privacy Policy

This Policy explains what personal information Magvai Agora collects. It also explains why we use it and when we share it. It tells you how long we keep it and what choices you have.

Effective: September 16, 2026Version: privacy-2026-09-16-r4Magvai Agora Inc · New York, USA

We do not sell personal data

We do not sell or rent personal information, including USCIS case data, for money or other value.

You control deletion

You can delete your account or remove USCIS Case Tracker data separately.

USCIS data has a narrow purpose

We use USCIS receipt numbers and case data only to run, secure, support, and document the Case Tracker.

1

Who this Policy covers

Magvai Agora Inc is a New York corporation. We are responsible for the personal information described in this Policy.

This Policy applies when you use our website, client portal, or mobile app. It also applies to our translation and document services, communications, company workspaces, rewards, and optional USCIS Case Tracker.

2

Information we collect

We collect the information needed to provide the services you choose.

  • Account and contact data, such as your name, email, phone number, account identifiers, language settings, and sign-in information.
  • Service content, such as documents, images, files, messages, order instructions, review comments, and delivery records. These files may contain identity, immigration, legal, medical, education, financial, or family information when you choose to provide it.
  • Transaction data, such as quotes, invoices, amounts, payment status, refunds, credits, and delivery choices. Payment providers handle full card credentials.
  • Technical and security data may include your IP address, browser or device type, operating system, current page or feature context, and app version. We may also collect sign-in events, cookies, security logs, audit records, crash data, fraud signals, and issue reports you choose to submit.
  • Notification data, such as push registration details, browser Web Push endpoints, notification settings, and delivery results.
  • USCIS Case Tracker data includes a receipt number and a masked receipt reference. It may also include status and history returned by USCIS, check times, API response data, notification settings, and consent records.
3

How we get information

  • From you when you create an account, place an order, upload a file, or send a message. We also get data when you make a payment, change a setting, or add a USCIS receipt number.
  • From your browser or device when we record security, authentication, cookie, notification, and reliability events.
  • From authorized company users when a company gives you access to a workspace or order.
  • From official or service systems when a request needs it. Examples include payment confirmation, delivery status, Google Drive workflows, and the USCIS Case Status API.
4

Sign in with Google

Google sign-in disclosure clarified October 12, 2026.

If you choose Sign in with Google, Google provides your Google account identifier, email address and email-verification status, and basic profile information such as your name and profile picture when available. We use this information to create or sign in to your Magvai Agora account and help secure it. Base44 processes the authentication for our app.

The Google sign-in permissions used here are openid, email, and profile. They do not grant access to your Gmail messages or Google Drive files, and signing in with Google does not provide access to USCIS case data. Other services or integrations require their own applicable permissions. The retention, sharing, security, and privacy-choice provisions of this Policy also apply to information received through Google sign-in.

5

How we use information

  • Run accounts, client portals, company workspaces, and support.
  • Prepare, review, deliver, and support translation, interpreting, apostille, notary-facilitation, document, and related services.
  • Create quotes, invoices, payments, refunds, credits, delivery records, and service messages.
  • Send in-app, email, mobile push, or browser notifications that you enable or that are needed for a requested service.
  • Protect accounts, prevent abuse and fraud, investigate incidents, review user-submitted platform issue reports, keep audit evidence, and improve system reliability.
  • Meet legal, tax, accounting, contract, dispute, and regulatory duties.
  • Measure and improve service reliability with operational or aggregated information that is suitable for that purpose.
6

USCIS Case Tracker data

When you turn on the optional Case Tracker, Magvai sends the receipt number to the official USCIS Case Status API. We use the response to show the latest status and keep a timeline. We compare later responses and create the alerts you enabled.

Magvai Agora is an independent private service. We are not USCIS, DHS, a government agency, or a government-endorsed partner. USCIS controls its data, decisions, notices, availability, rate limits, and corrections.

  • We do not use USCIS receipt numbers or case data for advertising, audience building, or unrelated marketing profiles.
  • We do not place a full receipt number in public URLs or notification text.
  • You may add a receipt only if you are the applicant, petitioner, or authorized representative. You may also add it if you have permission from the person whose case is being monitored.
  • Removing a tracker stops future checks and starts the tracker deletion process described below.
The USCIS Case Monitoring Terms explain monitoring, user duties, timing, notifications, deletion, and re-consent in more detail.
7

Data sharing, choices, benefits, and limits

Some sharing is required to provide a service. Other sharing is optional. We tell you when a choice is optional.

For example, the Case Tracker cannot work unless the receipt number is sent to the official USCIS API. Mobile or browser push alerts are optional and can be turned off without deleting the tracker.

  • Required sharing lets us complete the service you asked for. If you do not allow required sharing, that service may not work.
  • Optional sharing or notification features may make the service more convenient. You can turn them off when the feature allows it.
  • Any data transfer has limits and security risks. A provider or government system may also have an outage, delay, correction, or security incident that Magvai does not control.
  • USCIS notices and official instructions remain the controlling source for immigration deadlines and decisions.
8

Who receives data and what they may do with it

We share information only when it is needed for a requested service or to protect the platform. We may also share it to comply with law or follow your direction.

Our service providers must protect personal information in a way that is consistent with this Policy and their role. They may not use or disclose user information for an independent purpose without active user consent. An exception applies only when the law requires it. This rule also applies to de-identified, anonymized, and pseudonymized information.

  • Base44 provides app infrastructure, authentication, database, backend, and supported file storage.
  • Google Workspace and Google Drive support business email and approved file workflows.
  • Stripe and other enabled payment providers process payments, refunds, payment status, and fraud checks.
  • Resend and similar providers deliver transactional email.
  • Browser, operating-system, and platform push services deliver notifications that you enable.
  • Security providers, including reCAPTCHA where enabled, help prevent abuse and automated traffic.
  • USCIS/DHS receives a receipt number through the official Case Status API when you ask us to run the Case Tracker.
  • Qualified linguists, interpreters, notaries, couriers, and other fulfillment providers receive only the information reasonably needed for the requested work.
  • Professional advisers, insurers, auditors, regulators, law enforcement, or courts may receive information. We share it with them only when needed to protect rights or comply with law.
9

De-identified, anonymized, and pseudonymized data

We may use aggregated or de-identified operational data to measure service quality. We may also use it to measure reliability, security, and capacity when the data is suitable for that purpose.

We do not use de-identified, anonymized, or pseudonymized USCIS data to build advertising audiences or unrelated marketing profiles. We do not authorize a third party to use this data for a new purpose without active user consent. An exception applies only when the law requires it.

10

Sensitive information and information about other people

Documents you submit may contain sensitive information about you or another person, including family, health, financial, immigration, or legal information. Only submit information you are allowed to provide and that is needed for the service.

The Case Tracker does not ask for genetic or family-history information. Sharing health, genetic, or family information can affect another person’s privacy. Do not add that information to the tracker unless another service you requested needs it.

11

How long we keep data

We keep information while it is reasonably needed for an active account or service. We may also keep it for legal, tax, accounting, fraud, security, certification, contract, or dispute duties.

We do not use a fixed automatic deletion date for an open but dormant account. Account data may remain until you close the account or a legal retention period ends. You can permanently close your account at any time.

  • Removing a USCIS tracker immediately stops monitoring. It also removes the active receipt number and saved status and history. Related API-check records and pending tracker notifications for that case are removed too.
  • We may keep minimal consent or security evidence without the receipt number. We do this only when needed to document permission, withdrawal, legal compliance, fraud prevention, or system integrity.
  • We may keep or anonymize some business records for required periods. These may include orders, invoices, payments, refunds, certification records, and security or audit records. We keep them only for legal, tax, accounting, fraud, contract, or dispute duties.
12

How to permanently delete your data

You can permanently delete a client account in My Account → Privacy & Legal → Delete Account. The self-service deletion starts after your final confirmation and is designed to finish in the same request.

If you cannot sign in, use the public Account Deletion page or email support@magvaiagora.com from the account email. After identity verification, a support-assisted request will be completed within 30 calendar days. A specific record may be kept longer only when the law requires it.

  • You can remove a USCIS tracker without deleting your whole Magvai account.
  • Deleting your account also starts the USCIS tracker data-removal flow for trackers linked to that account.
  • Some records must be kept for law, tax, accounting, fraud prevention, security, contract, or dispute reasons. We limit those records to those purposes.
13

Security and data breaches

We use role-based access controls and server-side secret storage. We also use encrypted network transport, restricted file access, logs, audit records, and other safeguards that fit the service. No system can promise absolute security.

If a data breach affects personal information and notice is required, we will notify affected users. We will do so in the time and manner required by law. We will also provide available steps the user can take to protect themselves.

14

Your privacy rights and choices

  • Access or correct account information through available settings or support.
  • Ask what personal information we hold about you when applicable law gives you that right.
  • Delete your account or remove a USCIS tracker separately.
  • Turn optional mobile, browser, USCIS, apostille, and general notifications on or off.
  • Withdraw optional consent for future processing when the feature allows it.
  • Request access, correction, or deletion through support@magvaiagora.com. We may verify your identity first.
  • When the CCPA/CPRA applies, California residents may request access, correction, or deletion. They may also use applicable opt-out rights without unlawful discrimination. We do not sell personal information or share it for cross-context behavioral advertising.
15

Business transfer, sale, or closure

If Magvai is acquired, merged, reorganized, sold, or closes, we will notify users. We will do this when the ownership change materially affects personal information.

A successor that receives personal information must protect it under privacy and security rules that are consistent with this Policy. If the successor plans a materially different use, we will give users a reasonable chance to delete relevant data first. We will do this when law allows. Where technically and legally available, users may securely download or transfer files they need. This includes files that contain health information.

17

International users and children

Magvai Agora is based in the United States. Information may be processed in the United States. It may also be processed where our service providers operate, subject to applicable safeguards and law.

The service is not directed to children under 13. A parent, guardian, or other authorized adult may submit a child’s document. They may do so when it is needed for a lawful requested service.
